Fix or change your Xero connection

Once your organisation is connected, you should not need to touch this. These steps are only there if something goes wrong, so you can get back to where you were.

How this works. Email the assistant address you received when you signed up — for example name@smartbookkeeping.uk. If you have only one company connected, you can leave the company name out. If you have more than one, put the company name in the subject so your assistant knows which Xero organisation to use. Everything is created as a draft in Xero until you approve it.

Links Smart Bookkeeping to a Xero organisation so drafts can be created there. After a successful setup, leave the connection alone unless Xero access expires, you need to disconnect, or you connected the wrong organisation by mistake.

Reconnect

Use this when the connection expired, was revoked, or authentication failed.

You can reconnect in either of these ways:

  • Email: ask reconnect to xero (name the company in the subject if you have more than one). Open the link in the reply within one hour.
  • Owner Console: open the Owner Console → Settings and choose Reconnect for that company.

Then sign into Xero and select the same organisation already linked. You do not need to disconnect the app in Xero first.

Reconnect refreshes the connection. Your rules and learning for that company stay.

Disconnect

You’re always in control. You can disconnect one Xero organisation whenever you want. Choose either the Owner Console or Xero — you do not need to do both.

In the Owner Console

  1. Open the Owner Console login.
  2. Enter the owner email used for Smart Bookkeeping and choose Email me a dashboard link. We’ll send a secure magic link to that inbox.
  3. Open the email titled “Open your Smart Bookkeeping dashboard” and choose Open your dashboard within 24 hours. If it does not arrive, check your Spam or Junk folder, then request a new link.
  4. Select the company, open Settings, and find Billing & Connections.
  5. Choose Disconnect and confirm.

In Xero

  1. Open that organisation in Xero.
  2. Go to Settings → Connected apps (open Connected apps).
  3. Find Smart Bookkeeping.
  4. Disconnect it.

Either route stops Smart Bookkeeping from posting drafts to that organisation. Your rules and settings stay saved so you can reconnect later. It does not cancel your subscription, remove the company from Smart Bookkeeping, or affect your other companies.

To remove the company from Smart Bookkeeping as well (so you no longer email documents for it), ask your assistant to remove that named company and say you do not want to cancel the subscription.

Wrong organisation by mistake

If you select the wrong company on the setup / onboarding screen, Smart Bookkeeping is linked to that wrong Xero organisation.

Do not use reconnect to xero to fix this. Reconnect only renews access to the same company already linked.

  1. Disconnect the wrong organisation using one of the methods above: select that company in the Owner Console and choose Settings → Disconnect, or disconnect Smart Bookkeeping from that organisation’s Connected apps in Xero.
  2. If that wrong company still appears in Smart Bookkeeping, ask your assistant to remove it by name, and say you do not want to cancel the subscription.
  3. Re-onboard: email add new company (or use the add-company / signup link again) and complete the browser steps.
  4. Be careful here: when Xero asks which organisation to allow, select the correct company. That picker is where the mistake usually happens.
  5. After the correct organisation is connected, put that company name in the subject when you email documents.

Disconnecting by either method stops the link. It does not cancel your Smart Bookkeeping subscription.

Add organisations

You can have unlimited organisations (fair use applies — we may cap if an account is abused). Ask your AI to add a new organisation (for example I’d like to add another company) and she emails you a signup link. Owners can also use Add Company in the Owner Console. Complete the browser steps and pick the right Xero organisation — check the name carefully in the Xero picker.

  • Reconnect: an email with a one-hour link, or the Owner Console Reconnect button — then select the same company name in Xero.
  • Disconnect: use either the Owner Console or Xero Connected apps; processing for that organisation stops until you reconnect.
  • Wrong organisation: after disconnect (and remove if needed) plus re-onboard with the correct organisation, documents for that name go to the correct Xero file.
To: [your assistant] Subject: Example Co Limited — reconnect to xero Xero seems disconnected. Please send a reconnect link.
To: [your assistant] Subject: Remove Wrong Org Ltd Please remove Wrong Org Ltd from my Smart Bookkeeping account. This is only Wrong Org Ltd. Please do not cancel my subscription.

Then email add new company and, when Xero asks which organisation to allow, select the correct one.

  • Expired reconnect link → email reconnect to xero again.
  • Picked the wrong organisation at signup → follow the wrong-organisation steps above; do not keep sending documents under the wrong name.
  • Already using the company and tried signup again → you may be told to email reconnect to xero or add new company instead of re-running signup for the same organisation.
