Supported files & multi-file emails

Which files your assistant can read, and how several files in one email are handled.

How this works. Email the assistant address you received when you signed up — for example name@smartbookkeeping.uk. If you have only one company connected, you can leave the company name out. If you have more than one, put the company name in the subject so your assistant knows which Xero organisation to use. Everything is created as a draft in Xero until you approve it.

Accepts the file types the assistant can process into Xero drafts. Spreadsheets (XLS, XLSX, CSV) are read as tables: your assistant picks which columns to use automatically, unless you say otherwise.

Send PDF, JPG, JPEG, PNG, HEIC, XLS, XLSX or CSV. Keep the whole email under 25 MB. For a spreadsheet, you can leave column choice to the assistant, or say which columns to use (for example date, amount, description, account). You can also save column preferences as a rule.

One file → one draft, except:

  • Exactly one spreadsheet and one PDF or photo, and you do not say separately or batch → one draft from the spreadsheet, with both files attached.
  • “Process the PDF” / “process the Excel” → only that type is read; other files may still be attached.
cashbook.xlsx + statement.pdf in one email

Word docs, ZIP files and most other types are skipped. Over 25 MB: split the email. To treat the spreadsheet and PDF as two jobs, write separately.
